For one of our current clients, who operates on a bi-monthly payroll schedule and employs 27 staff members, each payroll cycle takes an average of one hour from start to finish including the final upload to the ACH banking system. This streamlined process is the product of a consistent and well-structured workflow.

Every cycle begins with the review of employee time records covering the 1st through the 14th of the month. We start this review the day prior to payroll, allowing us sufficient time to identify and resolve any discrepancies before payroll day arrives. This proactive step ensures the process remains smooth and eliminates last-minute surprises.

On the day of payroll, we verify time worked on the 15th, which is the last day included in the cycle. Once all hours are confirmed, we generate the payroll report, a step that typically takes no more than 20 minutes. Immediately afterwards, the report is sent to the client for review and approval.

The client’s verification is quick, thanks to the accuracy of the data and clarity of reporting. As soon as they confirm, we proceed with uploading the finalized payroll file into the bank’s ACH system. From there, the payments are processed, completing the cycle.

Despite the number of employees and the multiple verification steps involved, the entire process from the initial time record review to ACH submission is completed within about one hour every pay period. This level of efficiency not only ensures timely and accurate payroll for the client’s team, but also reinforces their trust in a smooth, predictable payroll experience.
